Greater Transparency for Cybersecurity Projects and IT Services with BCS
Customer Story: OEDIV SecuSys GmbH
With BCS, we at OEDIV SecuSys bring our project work, IT administration, and ticket management together on a shared platform. All employees have access to a consistent information base. This simplifies collaboration across our business areas, improves transparency, and reduces coordination efforts. We want to build on this experience and, in the future, also make the solution available to our managed services customers on request.
Why We Introduced a Shared Platform
OEDIV SecuSys is part of the Oetker Group and specializes in cybersecurity. Our services include Identity Governance & Administration, Privileged Access Management, and IAM consulting. Our work spans various types of projects, ranging from consulting and implementation to support and managed services.
When several projects are running simultaneously, information must be reliably available and responsibilities clearly assigned. At the same time, the tasks of different teams are interconnected. We therefore needed a platform where everyone involved could collaborate and stay informed about the current status.
By introducing BCS as our project management and ERP software, we wanted to bring our project information and workflows together in one central location. We were looking for a shared foundation that would simplify our daily collaboration and reduce our organizational workload.
We wanted a tool that would noticeably reduce the workload involved in our project work and give us more time for our core processes and communication with our customers.
Consistent Information for All Employees
A key advantage of BCS for us is that we can bring all employees together on the same platform. We work with shared data, consistent processes, and the same information. This allows us to view projects, tasks, responsibilities, and progress in context.
Our project leads have a better overview of ongoing activities. The information they need is available more quickly, and coordination among those involved is easier. Particularly in more complex cybersecurity projects, it helps us systematically consolidate information from different applications and individual ways of working.
BCS works exceptionally well in practice: We gain significantly greater transparency, reduce coordination efforts, and bring all employees on board through a shared platform. The relationship is an excellent fit on a personal level, too. It is a highly committed, collaborative partnership.
For us, the benefits come from the combination of the software’s features and a shared working foundation. Information is available across individual areas of responsibility and supports collaboration between our teams.
More Than 35 Projects in BCS
In total, we have already set up more than 35 different projects in BCS—including implementations, assessments, consulting, POCs, support, and managed services—and are actively working on them.
This range demonstrates the variety of tasks we bring together on the platform. BCS helps us coordinate day-to-day project work in a traceable way and provide a clear view of each project’s status. We keep relevant information centrally available so that everyone involved can work from a shared foundation.
In our daily work, this means less manual coordination and clearer responsibilities. Processes and decisions are also easier to trace. This gives us a better overview of ongoing activities and simplifies collaboration.
To ensure these benefits would translate into practice, we considered the requirements of future users alongside technical matters during implementation. It was important to us to integrate BCS into existing workflows and deliver immediate value in daily work.
IT Administration Uses the Ticketing System
Building on our positive experience in project work, we expanded our use of BCS. We now also use the software for IT administration and internal ticket management. The ticketing system supports both collaboration within IT and the handling of requests from all employees.
We can create ticket types easily and intuitively. As tickets are processed, each status change triggers a corresponding notification. This keeps everyone involved informed about progress.
We are already seeing a significant increase in transparency and efficiency in IT administration, too. We find collaboration straightforward and smooth. The shared platform brings project work, administration, and service processes closer together.
This creates further opportunities to standardize our workflows and manage them more effectively. We can use information across individual processes and further reduce breaks in the flow of information between systems. For us, BCS is therefore evolving beyond its original role in project work into a platform for interconnected operational tasks.
Next Step: Added Value for Our Managed Services Customers
Our experience with internal use also opens up opportunities for collaboration with our customers. We are building BCS expertise that we intend to extend to our managed services customers in the future. We would also like to make the solution available to them on request.
Managed services bring together complex IT services, different responsibilities, tickets, and projects. Transparent workflows and traceable progress are particularly valuable in this context. An integrated platform can help coordinate services and give everyone involved a shared overview.
By introducing BCS, we initially supported our own organization. At the same time, we are creating a foundation that will allow us to involve our customers in the future.
Conclusion: Reducing Workload Through Connected Project and Service Processes
BCS has given our daily project work a shared information base. All employees work on the same platform, can track responsibilities and progress, and coordinate with one another more easily.
By incorporating IT administration and structured ticket management, we have integrated additional internal workflows and improved our service request management. We use information more consistently across processes and connect tasks that are interdependent in our operations.
For us, the priorities are a tangible reduction in workload and a better overview. Greater transparency and less coordination give us more room for our core processes and communication with our customers. We want to apply this experience to our managed services in the future.
