For many years, full-service IT provider Neofonie relied on its own web-based time recording system, but it was no longer able to meet our future requirements. After an evaluation phase, Projektron BCS was shortlisted. Projektron's software scored points for its functional diversity and flexibility.

Founded in 1998, the company employs 180 people at its Berlin and Hamburg sites. Customers include Wort & Bild Verlag, Gruner & Jahr, stern.de, Kalaydo, Axel Springer Verlag, Deutsche Post, Volkswagen, Audi and mobile.de.

Motives for the search for a project management tool
For many years we relied on our own web-based time recording system, which supported our daily business accordingly, but could no longer meet our future requirements.
We decided against the further development of our tool and wanted to rely on a professional standard solution that could cope with the increasing complexity and number of our projects - also with the changed process organization. Core requirements for a new system included aspects such as time recording, (multi-)project management and controlling, capacity planning, billing of customer and grant projects.
After an evaluation of open source solutions and commercial systems, Projektron BCS was shortlisted and a presentation appointment was arranged at our company. Projektron BCS scored points for its functionality and flexibility, not least because it runs in the browser and supports mobile time recording.
In a test environment, we were able to work through functional topics in depth, which were accompanied in parallel by training and a process model provided by Projektron.
Together with our specialist departments, requirements were defined and functional blocks prioritized in a further step. The collected requirements were formulated as change requests - such as the on-call service - commissioned via Projektron's support ticket system and implemented to our satisfaction.
Setting up a test system, which is fortunately supported by the license model and thus enables us to test new or adapted functions before they are used in the productive system, proved to be very advantageous.
Thanks to the very fine-grained assignment of rights, we were able to model the actions and views for the roles in our company very well.
Currently, we use the function blocks time recording, master data management and reporting company-wide. We were also able to replace our paper-based leave procedure with electronic leave and overtime management.
Outlook and conclusion
In the future, we will devote more attention to the topics of capacity planning, project management and project controlling. With Projektron BCS, we have taken a step in the right direction: The flexibility and functional diversity of the software are paying off.
