Case Study of SkyGate

SkyGate has been developing Internet applications since 1995 - especially for customers from the mid-sized sector. For us, service includes one thing as a matter of course: Transparency. Today, we mainly realize applications in the areas of content management and e-business for our customers. We have been able to rely on Projektron BCS for 15 years.


How SkyGate came to Projektron BCS

Before we switched to Projektron BCS in June 2007, time recording was causing us trouble: Gaps were appearing here, and the software we were using at the time did not allow clear booking to individual tasks. Time planning was also not optimal.

Furthermore, we lacked a system for central documentation of agreements with customers. And we needed a good tool to inform customers about the progress of projects and to give them opportunities to intervene via tickets. Better evaluation of projects was also important to us, as was a reliable display of resource utilization. In addition, the requirements of our three main project types should be taken into account: Development projects, long-term support projects and internal IT projects.

In our search for a suitable project management software, the functions of Projektron BCS convinced us. We only had to make very few adjustments during the implementation. Projektron's support helped us with consulting services and remote maintenance. We like the short response times of the support team at Projektron as well as the competent handling of our requests.

Our expectations were fully met

Projektron BCS met all our expectations. We involve our customers in the projects with a customer login - this makes support easier and the customers are happy to accept this.

The ticket system is also in the interest of our customers. Direct communication with customers via tickets makes the support team's work much easier. Our internal processes have also been optimized by the ticket system. IT-relevant issues - from change requests to ISO27001-relevant security incidents - are recorded in the ticket system by all employees. Processors add workflows and checklists to the ticket system to ensure that they comply with compliance requirements.

We have also established this procedure for processes in the HR area, for example in onboarding, and for IT projects such as the provision of new servers. Individually set up project and ticket templates help to create standardized tasks. Individual requirements are added depending on the initial situation of the project. A Kanban board in BCS provides an overview in the ongoing JourFixes of the department.

For internal planning, the overview of projects in the acquisition process is very helpful - especially since it is accompanied by a detailed display of current or expected resource utilization. With the integrated quotation management, we keep an eye on all the important details at once. The ability to precisely document project processes and evaluate projects quickly made Projektron BCS an indispensable tool for us.

In 2013, we introduced ISO27001 certification as part of a Europe-wide tender by a major customer. This affected project implementation and support and thus, in effect, the entire company and all projects. New projects had to be established and documented in a traceable manner. Projektron BCS was an essential building block for this process and ensures that the regulations are also adhered to in practice. 

With the help of the good evaluation of completed projects, we reliably calculate new projects. The reasons for extra work performed can be tracked in the project progress log. Everyone can keep a much better eye on current and future tasks. And last but not least, coordinated vacation planning is no longer a feat with Projektron BCS!
