Uniform platform for transparency and quality
As an IT service provider, project management has been part of our work for many years. In 2014, we decided to manage traditional projects according to PRINCE2 – an approach that has proven successful for us. However, with the increasing number of projects and growing complexity, the need for a uniform database became apparent. That is why we switched to a central project management platform.
It creates transparency, improves traceability and facilitates teamwork. Documentation and quality assurance are supported more efficiently by integrated functions. This ensures that we can continue to offer our customers structured, traceable and high-quality services in the future – with clear processes and reliable information.
From market analysis to pilot phase with Projektron BCS
The introduction of the new project management software was carried out in several well-planned steps. After an intensive market analysis, we chose Projektron BCS – mainly due to the provider’s convincing consultation. Particularly helpful was the provided demo server, which was filled with extensive test data and offered realistic insights into the functions. The use of personas enabled us to realistically test typical user roles and their workflows – this significantly facilitated our initial implementation.
To test the software under real conditions, we first launched a three-month pilot phase. During this time, we were able to test various functions in daily operations and evaluate which adjustments would be useful for our way of working.
Digital support for project planning, effort, and controlling
With the introduction of Projektron BCS, we were able to digitally map our established processes in the best possible way and further improve them. Our focus is on classical project management, which we specifically support through the software.
A key component is the comprehensive project planning, which is represented in Projektron BCS. Here, we create project plans, structure the projects using the work breakdown structure, and define human resources and responsibilities via the team plan. The software thus enables us to start each project clearly and in a structured way – transparent and traceable for all involved from the very beginning.
A particularly valuable aspect is the integrated effort planning. In combination with the time tracking, which takes place directly in the software, we always have an accurate overview of the actual effort and the project progress. This makes planning not only more realistic, but also significantly improves project controlling. Time tracking for projects is easily possible for both internal employees and external service providers.
More than project management: customer-oriented processes and individual adaptations
One example of a particularly successful adaptation to our way of working is the ticket system. Originally intended as a classic support tool, we now use it internally for projects as an open list of items. Tasks, change requests, and important issues are documented, prioritized, and tracked in it. This transparent way of working allows all team members—as well as our customers—to view the current status of a project at any time. Our customers receive targeted access to their open items in the project and the project plan, enabling them to actively participate. This not only promotes collaboration, but also strengthens mutual understanding and trust.
Another advantage is the ability to create reports directly in the software using BIRT. Reporting allows us to keep both internal and external stakeholders regularly and professionally informed about the status of the project. Standardized templates and customizable reports provide the necessary basis for well-founded decisions during the course of the project.
The visual appearance is also particularly important to us in our customer contact. We have therefore adapted the project and structure plan to our corporate design. This creates recognition – a seemingly small step, but one that has a big impact on our external image.

Processes are more efficient, teamwork and collaboration with customers is closer and more structured, and the quality of our project work has improved even further.
